How we look after booking, enquiry and website information.

Your information

This site collects the minimum necessary personal data to manage bookings and enquiries.

Who we are

Pike House Escapes is responsible for personal data collected through this website in relation to enquiries, bookings and guest management.

What we collect

Depending on what you submit, we may collect names, email addresses, phone numbers, booking details (retreat, dates, guests, extras), billing and lead guest information, notes you provide, and technical security data such as IP address and form or session metadata.

How we use your data

Legal bases

We process personal data where necessary to perform a contract with you, to comply with legal obligations, and for legitimate interests such as operating and securing our booking service. Where consent is required, we request it directly.

Sharing your data

We only share data where necessary, including with payment processors, email and delivery providers, hosting and technical service providers, and where required by law. Where applicable, lead guest details may be shared for membership or access administration linked to your stay.

Retention

We keep personal data only for as long as reasonably necessary for booking operations, guest support, accounting, legal duties and dispute handling. Short-lived saved-booking and enquiry records are reviewed or anonymised under owner-managed privacy lifecycle rules, and this website does not store payment card numbers.

Search and site statistics

Google Search Console and Bing Webmaster Tools may provide aggregated search queries, pages, impressions, clicks and broad device or country information. Pike House Escapes also records privacy-minimised first-party events so we can see which pages and referring sources lead to booking journeys.

First-party visit events use a random session reference and do not store an IP address, full user-agent string, advertising click identifier or inferred interests. Raw events are retained briefly, aggregated by day and removed after the configured retention period. Choose Essential only in Cookie settings to object and stop this measurement.

Your rights

Subject to applicable law, you may request access to your data, correction of inaccurate data, deletion, restriction, objection, and where applicable data portability. You may also raise concerns with the UK ICO.

Security

We use technical and organisational measures designed to protect personal data, including HTTPS transport security, form protection controls and access restrictions. No online service can be guaranteed 100% secure, but we continuously improve safeguards.

Contact

If you have privacy questions or would like to exercise your rights, please contact us through the website contact page.

Guest accounts and offers

If you create a Pike House Escapes account, we use your name, email and mobile number to secure the account, show bookings linked to that email and issue any personal offer you qualify for. Sign-in links are short-lived and can be used only once.

If you choose to add an Instagram username, we store it so the owner can find the profile and decide manually whether to follow it. We do not follow profiles automatically or claim that social activity has been checked.

Marketing by email or text is optional and separate from account access or an offer. We record your latest choice and a dated consent history so you can change or withdraw it from your account. Campaign reports use daily totals; they do not publish your personal details.
